Job summary
Over the summer months leading up to A Level results day, the Admissions office receives a high volume of applications from students who have already achieved their results – these applications come to us through what is known as Early Clearing. These can come from both UK and Overseas applicants, and processing these applications is an important task which requires great attention to detail. This is a large undertaking and we are looking to hire a cohort of student workers to help us through this endeavour.
Those successful in securing this position would receive thorough training and ongoing support from our existing team of experts. They would provide invaluable support to a key University of Birmingham operation.
Main duties
Evaluating both Home and International Early Clearing applications for suitability for our programmes.
Rejecting Early Clearing applications which do not meet our minimum requirements.
Understanding undergraduate minimum and standard entry requirements to be able to confidently handle clear cut cases.
Undertaking additional administrative tasks as required by the Admissions Office.
Collaborating with colleagues both within the team and the wider Admissions Office, ensuring the correct referral channels exist for routing more complex cases.
Checking current applications for completeness and/or their current status and providing the appropriate advice and support where required.
Maintaining a high level of service by ensuring that standard levels of service are adhered to at every stage of the process.
Alerting line managers of potential backlogs or system issues with the possibility of damaging knock-on effects.
Completing training activities as directed by line managers, including training in the relevant systems and mandatory training modules.
To undertake other tasks which will be required from time to time within the Admissions Office, such as involvement in Confirmation and Clearing and other general office duties.
Person Specification
Accuracy and attention to detail in data entry and in providing information
Accuracy in use of verbal and written English
Ability to undertake repetitive administrative tasks
Confidence in the use of IT systems for data entry and retrieval
A flexible approach to work due to the often-changing priorities of the Admissions Office
An excellent team worker, understanding their role within the office
An understanding of the principles of confidentiality when handling personal data and an appreciation of the importance of data protection
An understanding of the importance of equality, diversity and inclusion in the workplace
Proven ability to work under pressure and/or to a tight deadline
General office skills
An understanding of the admissions process and the importance of the role in contributing to the successful recruitment and selection of students, which in turn contributes to the financial and reputational health of the institution. (Desirable)

Further details
Due to the time critical nature of these roles, the first two weeks following the start requires intensive induction and training. As such we cannot consider any annual leave during this period.
This is a full-time position only and those successful must be available to work the full 10 weeks of the position. For this reason, the majority of postgraduate students are ineligible to apply.
